Responsibilities
- Monitor and manage workflows and operational activities across multiple departments such as finance, human resources, customer support, logistics, marketing, and operations
- Ensure all operational procedures are executed on schedule and in compliance with established standard operating procedures
- Detect inefficiencies, process delays, or obstacles and promptly escalate concerns to relevant stakeholders
- Facilitate cross-departmental coordination by aligning project timelines, deliverables, and follow-up actions
- Promote consistent and accountable operational practices across teams
- Manage and update operational dashboards, tracking tools, and databases
- Produce regular performance reports on metrics including productivity, workflow efficiency, resource utilization, and overall operations
- Guarantee that reports are accurate, uniform, and delivered on time to senior leadership
- Track key operational indicators and highlight emerging trends or potential risks to management
- Assist leadership with on-demand reporting and in-depth operational assessments
- Keep standard operating procedures, process workflows, operational manuals, and compliance records current
- Structure and manage digital files across platforms like Google Drive, Notion, SharePoint, or proprietary systems
- Ensure all documentation is audit-compliant, well-organized, and easily retrievable
- Support the standardization of documentation and workflow practices across the organization
- Liaise with third-party vendors and external partners to track deliverables and service schedules
- Oversee vendor service level agreements and report any delays or performance issues
- Process and direct invoices, approval requests, and operational documents to appropriate personnel
- Maintain detailed records of all vendor-related communications and documentation
- Coordinate routine operational activities and multi-team projects
- Track action items and ensure teams meet their commitments
- Assist leadership with research tasks, scheduling, reporting, and operational improvement efforts
- Enhance interdepartmental communication and transparency in workflow progress
- Ensure all operational activities adhere to internal policies and compliance standards
- Keep precise logs, trackers, and documentation required for audits
- Support quality assurance and consistency in repeated operational processes
