This role combines office management and international event coordination, supporting two office locations. The individual will maintain smooth daily operations, act as the primary point of contact for the Turin office, and lead the logistics and execution of major global executive events in close collaboration with leadership and cross-functional teams.
Responsibilities
- Collaborate with the current Office Manager to supervise the reception area in Milan.
- Maintain organized and welcoming office environments, including meeting rooms and shared spaces.
- Handle incoming and outgoing mail efficiently.
- Coordinate with vendors and service providers for maintenance, cleaning, and catering needs.
- Ensure consistent availability of office supplies, food, and equipment.
- Serve as the main Office Experience contact for the Turin office, which hosts around 40 employees.
- Travel periodically, approximately once every one to two months, to the Turin office to address local needs and uphold operational standards.
- Plan and manage internal employee events such as team-building activities, after-work gatherings, and well-being programs.
- Oversee the distribution and logistics of employee gifts.
- Support administrative duties including invoice handling and purchase documentation.
- Act as a key operational partner to the Associate Director in organizing and executing major global corporate events.
- Assist in managing high-impact events including Annual Management Seminars, Top Managers Seminars (held 3–4 times per year), and the biennial Global Convention.
- Lead end-to-end logistics for large-scale executive events, including scheduling, vendor management, and on-site coordination.
- Work closely with HR, IT, and other departments to coordinate event logistics, onboarding, travel, equipment setup, and access credentials.
Requirements
- At least five years of professional experience in office management.
- Minimum of five years of experience in event planning, with a focus on large corporate or executive events and remote team coordination.
- Fluency in both English and Italian, both written and spoken.
- Willingness to travel regularly, approximately once every month or two, to the Turin office.
- Demonstrated ability to work independently and proactively, identifying and solving problems within established guidelines.

Compensation

Work Arrangement
Local position based in Milan and Turin, with one day of home office allowed per week.
