Responsibilities
- Collaborate with school administrators to support institutional goals and foster a transparent, team-focused environment aligned with organizational values.
- Respond to incoming phone calls promptly and professionally.
- Welcome and guide students and visitors upon arrival to the office area.
- Enforce registration, visitor badging, and guest protocols for parents and external guests.
- Support the development and distribution of school newsletters, surveys, and official communications.
- Provide assistance during school functions including Parent Orientation, Open House, field trips, and educational outings.
- Maintain a tidy, organized, and inviting office space.
- Attend and engage in informational meetings and training sessions.
- Assemble and distribute welcome materials and mailing packets for new families.
- Lead student and parent tours and orientation sessions.
- Enter student and staff information accurately into designated databases and systems.
- Obtain and verify academic records for newly enrolled students.
- Ensure daily attendance is recorded completely and submitted on schedule without exception.
- Follow through each stage of the truancy procedure as required.
- Manage student withdrawal documentation and processing.
- Generate and keep transcripts updated and accurate.
- Respond to record requests in compliance with established policies.
- Securely create, organize, and maintain confidential student files in accordance with federal, state, and local laws.
- Take part in yearly audits of student documentation.
- Generate routine and ad hoc reports as needed.
- Perform regular filing of physical and digital documents.
- Handle incoming and outgoing mail and package deliveries efficiently.
- Schedule and coordinate school meetings and events.
- Manage shared calendars for administrative staff and leadership.
- Monitor and replenish office supplies and materials to ensure operational continuity.
