ScaleSource is hiring an Office Assistant / Business Development Coordinator (Remote)

Support a growing U.S. home services business in a key operational role that bridges customer outreach and sales coordination. This full-time remote position plays a central part in managing the end-to-end lead lifecycle—from initial inquiry to bid follow-up and conversion tracking. You’ll serve as the first point of contact for incoming customers, ensuring clear communication and timely scheduling of on-site estimates.

Key Responsibilities

  • Respond to phone calls and online messages from potential clients
  • Collect project details, qualify interest, and set appointments efficiently
  • Confirm scheduled visits and send timely reminders
  • Log all interactions and maintain up-to-date records in the CRM
  • Monitor the status of estimates and proposals, tracking progress through the pipeline
  • Follow up consistently on open bids to keep opportunities active
  • Notify leadership of high-priority leads requiring immediate attention
  • Generate weekly summaries of sales pipeline activity
  • Re-engage past or inactive customers through targeted outreach
  • Support local marketing efforts by following up on campaign-generated leads
  • Assist with review generation and referral follow-up
  • Coordinate communication between office staff and field teams
  • Help maintain accurate digital records, invoices, and service documentation
  • Provide support in resolving customer service concerns when needed

What You Bring

  • Fluency in written and spoken English
  • At least two years of experience in administrative, customer service, or sales support roles
  • Proven ability to manage inbound inquiries and maintain organized workflows
  • Familiarity with CRM platforms such as HubSpot, ServiceTitan, Zoho, or Salesforce
  • Strong attention to detail and a disciplined approach to follow-up
  • Availability during U.S. business hours (PST, CST, or EST)

Preferred Background

  • Experience in home services industries like roofing, HVAC, plumbing, or restoration
  • Background supporting estimators or sales teams
  • Hands-on experience tracking proposals and managing bid pipelines
