Key Responsibilities
- Generate invoices and financial statements, monitor payments, and log company expenditures accurately.
- Collect and analyze public data on market trends and industry benchmarks to support strategic decision-making.
- Maintain secure and efficient document storage systems for easy retrieval and compliance.
- Perform detailed data entry tasks including lead list creation, transcription, meeting minutes, and payroll preparation.
- Conduct product research, place orders, and coordinate sample acquisition as needed.
- Manage marketing and sales data within a CRM platform, ensuring information is current and accessible.
- Track project progress, facilitate internal updates, and organize critical business information.
- Oversee calendar coordination across teams, resolve scheduling overlaps, and prepare clients for upcoming meetings.
- Plan travel logistics including itineraries, accommodations, and transportation arrangements.
- Handle incoming calls professionally, make outbound calls for scheduling or inquiries, and manage email correspondence efficiently.
- Summarize complex information into clear reports and presentation materials.
- Update online profiles, upload content, and respond appropriately to feedback or reviews.
- Carry out additional tasks as assigned, adapting quickly to evolving priorities.
Requirements
- At least three years of experience supporting C-suite executives in administrative roles.
- Earned degree or relevant certification is required.
- Strong command of English—both written and spoken—at a minimum B2 level.
- Exceptional communication skills across phone, email, and instant messaging platforms.
- Proven ability to manage time effectively and stay organized under pressure.
- Comfortable using MS Office, cloud-based services, VoIP, desktop sharing tools, and online calendars like Google Calendar.
- Familiarity with CRM systems and digital collaboration environments.
- Self-motivated with a willingness to learn new processes and adapt to training.
