Responsibilities

  • Coordinate executive schedules and facilitate internal and external meetings
  • Prepare and distribute meeting agendas, summaries, and action items
  • Assist in creating internal documents, reports, and presentations
  • Support new employee onboarding by setting up accounts, tools, and system access
  • Keep internal directories, organizational charts, and contact information current
  • Collect, log, and monitor receipts, petty cash, and expense claims
  • Liaise with vendors and suppliers for office-related billing and payments
  • Ensure expense records are accurate, organized, and up to date
  • Collaborate with HR on onboarding tasks including ID issuance, device provisioning, and software access
  • Monitor attendance records, leave schedules, and team member birthdays
  • Help plan internal events, team huddles, and regular gatherings to support team culture
  • Provide scheduling and coordination support to senior leadership
  • Manage project documentation such as NDAs and agreements, ensuring timely completion
  • Deliver first-line technical assistance for Google Workspace, email, shared drives, and basic IT issues
  • Configure and manage laptops, user accounts, access permissions, and software for new and departing staff
  • Maintain and track inventory of technology assets including devices, accessories, and software licenses
