About the Role

This position is responsible for designing and maintaining provider schedule templates across all clinical and ancillary service locations. The role ensures optimal patient access by aligning provider availability with patient demand, balancing workloads, and minimizing wait times through strategic scheduling practices.

Key Responsibilities

  • Develop, update, and maintain scheduling templates within the assigned system to reflect current operational needs.
  • Oversee setup and configuration in scheduling applications, including adding, modifying, or removing templates as required.
  • Track physician clinic cancellations and coordinate follow-up actions with scheduling staff.
  • Manage real-time changes to daily schedules to support prompt rescheduling of patient appointments.
  • Conduct regular quality reviews of facility schedules and notify leadership of any booking discrepancies.
  • Generate and analyze reports on patient volume trends, delivering actionable data to department leaders.
  • Respond to scheduling-related inquiries received via phone, email, or internal software platforms, ensuring timely resolution.
  • Escalate operational issues to management and contribute to process improvement initiatives.
  • Offer guidance and support to junior scheduling staff when directed.
  • Follow established policies to protect organizational resources and maintain compliance.

Qualifications

Candidates must have a high school diploma or equivalent and at least three years of relevant experience, including one year specifically working with scheduling template systems. Familiarity with office operations, strong data entry accuracy, and the ability to maintain detailed records are essential. Effective written and verbal communication skills, along with the capacity to build productive working relationships, are required.

Work Environment

This is a hybrid position with remote work capabilities. The schedule allows flexibility while maintaining alignment with team and operational needs.
