Responsibilities
- Reopen dormant relationships with architects and developers
- Initiate new conversations with relevant firms
- Maintain a disciplined outreach cadence
- Capture real market feedback
- Remove all admin and coordination load from the President
- Review history, extract context, and initiate outreach with relevance (not generic messaging)
- Initiate calls via RingCentral and follow up via email when needed
- Adapt the conversation in real-time—no rigid scripts
- Move immediately to secure a meeting, call, or in-person lunch for the President
- Log outcomes, next steps, and key relationship insights in the tracker
- Ask directly why and document pricing, timing, or relationship factors
- Build and maintain a structured outreach tracker (cadence, notes, status, follow-ups)
- Execute follow-ups without being reminded
- Adjust outreach targets and cadence accordingly
- Review their website, leadership, and recent projects to inform your outreach
- Select targets aligned with high-end positioning—not volume outreach
- Coordinate calendars and lock in schedules without back-and-forth delays
- Draft emails in the client’s voice—clear, concise, and professional
- Organize and ensure nothing gets lost
- Track deadlines, missing items, and follow-ups until resolved
- Organize and prepare information for QuickBooks coordination
- Review messages, connection requests, and surface relevant opportunities
- Coordinate updates to project lists, references, or announcements
- Identify firms, partnerships, or opportunities worth pursuing
Requirements
- Proven experience doing outbound business development (calls + email) with professional clients (AEC, engineering, construction, or similar)
- You are comfortable initiating conversations with senior professionals without scripts
- You can run your own tracking system and follow-up cadence without supervision
- You are organized to the level of documenting conversations, insights, and next steps consistently
- You can write clear, professional emails that sound like an executive—not a VA
- You are comfortable asking direct questions (including why proposals were lost)
- You are able to operate in ambiguity and build structure where none exists
