Responsibilities
- Manage comprehensive project plans, timelines, and tracking systems across multiple simultaneous initiatives, serving as the central reference for tasks, owners, and deadlines
- Maintain consistent operational rhythm through regular status updates, check-ins, risk identification, and dependency tracking to prevent work from stalling
- Coordinate efforts across clinical, finance, IT, HR, and vendor teams to keep projects aligned and unblocked
- Develop standardized operating procedures for recurring initiatives such as market entry, facility setup, clinic integration, and vendor onboarding to improve efficiency over time
- Serve as a trusted resource for leadership on urgent, ambiguous requests requiring quick resolution and clear follow-through
- Act as the execution lead for senior leadership by converting strategic priorities into actionable, tracked initiatives and driving them to completion
- Lead the launch of new locations by managing real estate logistics, construction timelines, permits, furnishings, technology setup, and supply chain coordination to ensure on-time openings
- Support recruitment for clinical and leadership roles in new markets, including job posting, interview coordination, offer management, and onboarding with attention to licensing and credentialing
- Establish and maintain essential contracts and vendor agreements for new markets, ensuring they are documented, tracked, and renewed on schedule
- Lead integration activities for acquisitions, including electronic medical record migration, HR and applicant system configuration, email provisioning, payer transitions, compliance filings, and policy alignment
- Support existing markets by maintaining up-to-date licensing, managing contract renewals, monitoring performance metrics, and ensuring recurring tasks are completed
- Take ownership of operational tasks without clear owners, such as vendor setup, internal communications, document management, and process research to support organizational scalability
- Collaborate with clinical, financial, technical, and external teams to ensure seamless integration of processes and prevent downstream inefficiencies
- Deliver timely research, analysis, and decision-ready options to leadership when rapid input is needed
- Convert executive priorities into structured work plans with assigned owners, deadlines, and status tracking, and ensure full follow-through to closure
- Prepare executives for meetings by organizing pre-reads, distributing materials, and capturing and tracking action items
- Create dashboards, trackers, and reporting tools that provide real-time visibility into project status without requiring manual follow-up
- Provide focused coordination and scheduling support on owned projects, with clear judgment on task ownership and escalation paths
- Use AI tools daily for planning, drafting, research, summarization, communication, and data management to enhance productivity
- Build and maintain AI-powered workspaces, reusable prompts, and automation templates for common processes like market launches, clinic openings, and vendor tracking
- Identify repetitive manual work and implement targeted automations using AI, project management software, and internal systems
- Document all created workflows thoroughly so team members can independently execute them, treating the workflow library as an evolving internal product
