What You'll Do
Act as a trusted operational partner to the Chief Operating Officer of a U.S.-based law firm, managing day-to-day workflows from a remote location in LATAM. You’ll oversee complex scheduling, prioritize critical meetings, and resolve conflicts across multiple stakeholders, ensuring the COO’s time is used effectively.
Monitor and triage incoming communications, drafting responses and escalating urgent matters. Serve as a liaison between leadership and internal teams—including attorneys, paralegals, and case managers—relaying directives and tracking progress on key deliverables.
Handle sensitive correspondence with external parties such as courts, opposing counsel, vendors, and referral partners. Prepare briefing materials for leadership discussions and maintain essential operational documents, SOPs, and reference guides.
Support legal operations by tracking critical deadlines—mediations, depositions, hearings, and trials—and coordinating logistics for legal events, including scheduling court reporters and mediators. Assist with HR-related communications and documentation as needed.
Requirements
- Minimum of three years as an Executive Assistant supporting C-suite or senior leaders
- Direct experience in a law firm or legal services environment
- Fluent in both English and Spanish, with strong written and verbal communication skills
- Proven ability to manage complex calendars and protect executive focus time
- Experience handling confidential legal information with discretion
Preferred Qualifications
- Familiarity with Personal Injury or Employment Law case workflows
- Hands-on experience with legal case management platforms such as Filevine
- Background coordinating depositions, mediations, hearings, or trial logistics
- Previous work with distributed or remote teams
