This role supports the firm’s legal operations by managing the intake and closing phases of client cases. You will prepare and finalize onboarding documents, initiate case setup, and ensure all administrative steps are completed for a smooth transition to case management teams.
Key Responsibilities
- Complete onboarding paperwork for new cases and begin initial case setup procedures
- Handle all post-settlement tasks, including finalizing insurance records, resolving liens, and closing files
- Send client welcome letters with signed contracts using Postrio
- Verify whether clients were previously represented and document accordingly
- Issue referral notifications and manage related accounting
- Deliver disengagement or client termination letters as needed
- Notify adjusters or new attorneys by sending lien letters when directed
- Send closed file notifications to clients via POSTRIO
- Update assigned paralegals weekly on task progress through Litify Chatter
Qualifications
You bring strong organizational skills, fluency in English, and experience in handling sensitive information with discretion. Familiarity with legal workflows—especially in personal injury or insurance-related matters—is essential.
- High school diploma or equivalent
- Fluent in English with excellent written and verbal communication
- Experience with data entry, record keeping, and multitasking under pressure
- Ability to manage follow-up tasks accurately and prioritize workloads
- Proficiency with Microsoft Office, Nitro PDF, DocuSign, and cloud-based systems
- Experience using VoIP platforms such as Zoom, Teams, Vonage, or RingCentral
- Understanding of data privacy standards including HIPAA or GDPR
- 1–3 years of customer service experience, ideally in legal, medical, or insurance settings
- Basic knowledge of legal terminology and case types such as motor vehicle accidents and premises liability
Preferred Skills
- Bilingual proficiency in English and Spanish
- Experience with case management systems like Litify or Salesforce
