Responsibilities
- Monitor and manage inventory levels across all fulfillment locations.
- Forecast inventory requirements based on sales trends, lead times, seasonality, and inbound shipment schedules.
- Create and maintain replenishment plans to prevent stockouts and excess inventory.
- Coordinate inbound and outbound shipments to maintain optimal stock levels.
- Ensure out-of-stock SKUs are promptly deactivated across all sales channels to prevent overselling.
- Coordinate with Management, Marketing, and Development teams to manage product activation/deactivation.
- Reactivate SKUs immediately upon confirmed stock replenishment.
- Validate system inventory feeds to ensure accurate stock availability is reflected online.
- Reconcile inventory counts across OMS, WMS, ERP, and third-party sales platforms.
- Investigate and resolve discrepancies between internal systems and 3PL warehouses.
- Partner with 3PL providers to validate stock adjustments, damages, returns, and transfer variances.
- Maintain accurate inventory records to support financial reporting and operational planning.
- Act as the central point of contact between Executives, Operations, Marketing, Customer Service, Finance, and Development teams regarding inventory status.
- Communicate inventory risks, stockouts, delays, and replenishment timelines to stakeholders.
- Support marketing campaigns by validating product availability prior to launch.
- Collaborate with developers to ensure proper system integrations and inventory sync functionality.
- Track inbound shipments from suppliers and monitor estimated arrival dates.
- Report shipment status updates to internal stakeholders.
- Identify and escalate potential delays or disruptions.
- Maintain shipment logs and documentation for operational visibility.
- Generate regular inventory health reports (stock levels, aging inventory, sell-through rates).
- Monitor KPIs such as stockout rate, inventory accuracy %, backorder rate, and fulfillment performance.
- Provide data-driven insights to improve inventory efficiency and reduce discrepancies.
Requirements
- 2–4 years of experience in inventory operations, supply chain coordination, fulfillment, or logistics
- Proven experience managing inventory across multiple systems (e.g., OMS, WMS, ERP, ecommerce platforms)
- Experience working with third-party logistics providers (3PLs) and distribution centers
- Hands-on experience with inventory reconciliation and discrepancy resolution
- Strong proficiency in Excel or Google Sheets (pivot tables, lookups, inventory modeling, basic forecasting)
- Experience with ERP, OMS, and/or WMS systems
- Understanding of inventory forecasting principles and replenishment planning
- Familiarity with ecommerce inventory flows and SKU lifecycle management
- Strong analytical skills with the ability to interpret sales data and forecast inventory needs
- High attention to detail with a track record of maintaining inventory accuracy
- Ability to proactively identify stock risks (stockouts, overselling, excess inventory) and implement solutions
- Strong organizational skills with the ability to manage multiple SKUs and shipments simultaneously
- Experience working cross-functionally with operations, marketing, finance, and technical teams
- Strong written and verbal communication skills
- Ability to communicate inventory risks, shipment delays, and discrepancies clearly to stakeholders
