Pearl Talent is hiring a Homecare Scheduler for a critical operational role coordinating caregiver schedules to ensure uninterrupted care delivery. You will balance client care plans, caregiver availability, and business requirements in a fast-paced, execution-heavy environment.
What You'll Do
- Independently manage caregiver schedules aligned with client care plans, preferences, and coverage needs.
- Match caregivers to clients based on skills, experience, compatibility, and complex care requirements.
- Monitor and adjust schedules to address emergencies, call-outs, and coverage gaps.
- Communicate schedule updates clearly and promptly to caregivers and clients.
- Serve as the primary point of contact for caregiver availability, assignments, and concerns.
- Address client inquiries related to scheduling and continuity of care.
- Maintain accurate scheduling records within scheduling software systems.
- Resolve scheduling conflicts, caregiver issues, and client complaints in a timely manner.
- Verify caregiver shifts, timesheets, and service codes for payroll and billing accuracy.
- Cross-check pay rates and bill rates against client contracts.
- Generate and review reports related to schedule adherence and caregiver utilization.
- Maintain backup schedule reports to support business continuity.
- Maintain accurate accounting records using bookkeeping systems.
- Support accounts payable and vendor setup.
- Assist with payroll processing and client invoicing.
- Audit and reconcile financial records to ensure accuracy.
What We're Looking For
- 1–2+ years of experience in scheduling or coordination roles.
- At least 1 year of experience in the healthcare or homecare industry.
- Hands-on experience using scheduling software.
- Ability to manage schedules supporting up to 75 clients and approximately 300 service hours.
- Strong organizational and time-management skills.
- Excellent written and verbal English communication skills.
- Experience with bookkeeping fundamentals, including QuickBooks.
- Familiarity with invoicing and P&L-related processes.
- Ability to remain calm and effective in high-pressure, fast-paced environments.
Nice to Have
- Prior experience in homecare, senior care, or healthcare settings.
- Familiarity with HIPAA compliance and caregiver credentialing processes.
- Bilingual in English and Spanish.
