About the Role
The ideal candidate will ensure smooth day-to-day functioning of a residential homeowners association by managing administrative tasks, supporting board governance, and maintaining positive relationships with residents and service providers.
Responsibilities
- Manage homeowner association operations in compliance with governing documents
- Coordinate regular meetings of the board and prepare official minutes
- Serve as primary contact for resident inquiries and service requests
- Enforce community rules and handle violation notifications
- Oversee maintenance of common areas and contracted services
- Monitor vendor performance and ensure service quality
- Assist in preparing annual budgets and financial reports
- Track accounts receivable and coordinate collections
- Maintain accurate records of association documents and correspondence
- Distribute community announcements and updates
- Support board decision-making with administrative resources
- Ensure compliance with state regulations and legal requirements
- Organize annual elections and membership meetings
- Manage insurance documentation and claims coordination
- Track reserve fund studies and capital improvement plans
- Handle correspondence with legal counsel when necessary
- Supervise landscaping, security, and janitorial services
- Respond to emergencies affecting community safety or access
- Maintain website and digital communication platforms
- Process architectural review applications from homeowners
- Coordinate with property developers during transition phases
- Update and distribute community directories
- Administer parking and amenity usage policies
- Support event planning for resident engagement activities
- Provide onboarding materials for new residents
Nice to Have
- Certified Manager of Community Associations (CMCA)
- Accredited Management Organization (AMO) knowledge
- Experience with large-scale master-planned communities
- Bilingual communication abilities
- Prior use of Cinc, AppFolio, or similar management systems
