What You'll Do
Lead and support bi-monthly Council meetings, Senior Council sessions, workshops, and special topic discussions for a collaborative body representing two states, three tribes, and three federal agencies. Your role is to foster inclusive, productive dialogue and ensure decisions align with established governance frameworks. Work directly with the rotating Council Chair to shape agendas, identify unresolved issues, and design discussion formats that advance group alignment.
Ensure all meeting materials are collected, finalized, and distributed on schedule—seven work days before each meeting, with updates shared promptly when received within 48 hours of session start times. Upload presentation materials to virtual platforms including WebEx and GoToMeeting to support seamless remote participation.
Requirements
You will maintain accurate logs of decisions, action items, and resolutions, updating them within five business days after each meeting. Draft concise summaries of meeting outcomes—including attendance, key decisions, and next steps—and finalize them within three weeks. Maintain both a rolling calendar of discussion topics and a fiscal year meeting schedule to ensure long-term planning coherence.
Stay current with governing documents such as the 2016 Memorandum of Agreement, By-Laws, and Operational Agreements, and apply them consistently during facilitation. Uphold strict neutrality, avoiding representation of any single organization’s interests, to preserve trust across the group. Respond to emerging issues between meetings by coordinating stakeholder input and proposing pathways to resolution.
Attend all sessions in person unless otherwise arranged, and collaborate weekly with the Chair to set preparation deadlines and track progress. Ensure all facilitation practices adhere to Council protocols and support equitable participation across diverse governmental entities.
