Oceans is hiring a Financial Operations Specialist to ensure financial accuracy and operational efficiency for a high-growth, inventory-based consumer brand. In this critical role, you’ll partner with a client to execute recurring finance and operations processes while contributing insights and improvements to support data-driven decision making.
What You'll Do
- Manage AP/AR processes including invoices, purchase orders, and payments.
- Reconcile wholesale orders and transactions on a monthly basis.
- Support month-end reporting, ensuring accuracy of data for financial reviews.
- Collaborate with fractional finance partners on reconciliations and reporting.
- Use QuickBooks and other finance tools for wholesale PO entry and tracking.
- Manage retailer onboarding administration and item form completion.
- Reconcile sales and inventory data across Shopify, Whole Foods, Costco, Thrive Market, and Amazon.
- Pull reports from dashboards (Crystal EDI, retailer portals) and translate into clean datasets.
- Assist with inventory reconciliations, providing visibility into stock positions.
- Support backend logistics tasks such as DHL forms for international shipments.
- Provide weekly and ad hoc reporting (sales by store, campaign performance, etc.).
- Analyze sales, inventory, and finance data to identify errors, trends, or discrepancies.
- Conduct A/B testing or user data review to inform leadership of opportunities for improvement.
- Proactively flag data discrepancies and recommend solutions.
- Contribute ideas to improve workflows, reporting, and reconciliation accuracy.
- Support leadership with data inputs for month-end or board-level discussions.
What We're Looking For
- Professional fluency in English with excellent communication skills.
- 3+ years in financial operations, business operations, or accounting support.
- Proficiency with QuickBooks.
- Strong proficiency with Excel/Sheets including pivot tables, datasets, and ad hoc reporting.
- Understanding of purchase orders, invoicing, and retail sales processes.
- Ability to work across remote and cross-time-zone teams.
Nice to Have
- Experience ideally in a CPG or inventory-based business.
- Exposure to Bill.com, Confido, or similar tools.
- Familiarity with retail partners (Costco, Whole Foods, Thrive Market, Amazon), EDI systems (Crystal), and inventory management.
