Position Overview
As a Front Desk Coordinator, you will play a key role in maintaining efficient daily operations across our Commack and Bellmore clinics. Working in a hybrid capacity, you’ll balance remote responsibilities with in-person support to ensure patients receive timely, organized, and empathetic care.
Key Responsibilities
- Provide a warm and professional first point of contact for patients arriving in person or calling by phone, ensuring a positive experience from arrival to departure.
- Manage appointment scheduling with accuracy and efficiency, optimizing provider availability and room usage to support clinic growth.
- Monitor patient flow to keep visits on time, notifying clinicians of arrivals and communicating any delays promptly.
- Enter and update patient data in the Electronic Medical Record (EMR) system, including demographics, insurance details, and treatment plans using Theraoffice.
- Process incoming faxes, generate reports, reconcile financial records, and track patient retention with close attention to detail.
- Collect and verify co-pays, manage credit records, and support financial accountability within the practice.
- Reach out to physicians as needed to obtain updated prescriptions and Plans of Care, ensuring all documentation is current and compliant.
- Assist during therapy sessions by preparing equipment, applying heat or paraffin, helping patients with mobility, and guiding them through prescribed exercises.
- Educate patients on safe and effective use of therapy tools and routines under clinician direction.
- Maintain strict confidentiality of patient information in alignment with HIPAA and internal policies.
- Keep treatment areas clean and organized by performing turnover tasks, laundering linens, disposing of waste, and sanitizing surfaces and equipment.
- Restock therapy supplies by tracking inventory, placing orders, and confirming deliveries to prevent shortages.
- Respond to calls from patients, hospitals, and physicians with professionalism and clear communication.
- Support accessibility for individuals with disabilities by providing appropriate assistance or escalating needs as required.
- Perform additional duties as needed to support clinic efficiency and patient well-being.
Physical and Work Environment
This role requires frequent standing, walking, lifting up to 40 pounds, and manual dexterity for data entry and equipment handling. Tasks may include bending, reaching, and assisting patients with mobility. Close vision, distance vision, and depth perception are necessary for safety and accuracy.
Qualifications
Successful candidates will demonstrate the ability to manage multiple priorities in a fast-paced setting, seek guidance when needed, and adapt to changing demands. Experience with EMR systems—particularly Theraoffice—is essential. A commitment to patient dignity, confidentiality, and service excellence is required.
Work Model
This is a hybrid position with most days remote. However, you must reside within Nassau County and be available to report in person to either the Bellmore or Commack location as needed.
