What You'll Do
Oversee the daily operations of commercial facilities, ensuring custodial services, engineering systems, life-safety protocols, and site maintenance meet established standards. Coordinate all aspects of property upkeep, both interior and exterior, to maintain optimal functionality and appearance.
Manage vendor contracts from initiation through renewal, ensuring accurate billing and adherence to agreed terms. Lead the evaluation and bidding process as needed, and verify compliance with insurance requirements for all third parties.
Respond efficiently to tenant inquiries and service requests, ensuring timely resolution in alignment with service agreements. Continuously assess occupant needs and adjust operations to support a productive, safe, and well-maintained environment.
Prepare and maintain essential documentation, including emergency procedures, compliance logs, safety records, as-built drawings, and performance reports. Ensure all records are current, accurate, and accessible.
Develop and monitor annual budgets, financial forecasts, and capital planning initiatives. Review expenditures, purchase orders, and financial reports, providing oversight to ensure fiscal responsibility and alignment with client goals.
Support the creation of long-term facility strategies, including maintenance planning and cost-efficiency improvements. Analyze operational data to track performance and inform decision-making.
Requirements
- Reside within the Southern Orange County to San Diego region
- Bachelor’s degree in Facilities Management, Business Administration, Project Management, or a related field
- 5–7 years of experience managing commercial high-rise buildings, campus environments, or multi-site portfolios
- Ability to interpret blueprints, construction documents, and management agreements
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Strong financial acumen with experience in budgeting, forecasting, and expense tracking
- Experience with Building Management Systems and work order platforms
Preferred Qualifications
- Background in construction, leasing, or engineering disciplines
- Experience managing critical building systems
- Proven success in identifying and eliminating operational inefficiencies
- Familiarity with CMMS or work order management tools
- Hold CFM, IFMA, or BOMA certification, or equivalent professional credential
- Additional training in engineering, business, or technical fields
- Knowledge of Yardi or similar financial systems
