Jones Lang LaSalle (JLL) is hiring a Facilities Manager to manage general office facilities and assist with the critical environment for Morgan Stanley’s Australia business. In this role, you will be responsible for administration, contractor management, reporting, and the management of existing processes and procedures.
What You'll Do
- Oversee property portfolio management, including remote management of interstate sites, ensuring all facilities operate effectively.
- Manage ad hoc work orders from initiation to completion, adhering to service level agreements (SLAs) across all contracts.
- Supervise the On-Site Handyman resource, ensuring proactive identification and timely resolution of property issues.
- Maintain accurate documentation and reliable data within JLL platforms while implementing process improvements.
- Ensure vendor compliance with workplace health and safety standards, maintaining up-to-date induction registers and conducting regular performance review meetings.
- Identify and implement cost-saving initiatives and service improvements for The Client.
- Develop and maintain effective working relationships with key clients and business contacts across all locations.
- Ensure timely completion and submission of all required reports, including Morgan Stanley reports and incident management documentation.
- Coordinate scheduled maintenance across the entire portfolio while managing unscheduled issues.
- Deliver strong customer service through effective communication about work order status, upcoming maintenance, and any issues that might impact staff.
What We're Looking For
- Competent experience with performance-based service contracts, knowledge of critical infrastructure, and strong vendor management skills.
- Excellent written and spoken communication skills.
- Demonstrated initiative, enthusiasm, and the ability to work autonomously as well as in a team environment.
- Good interpersonal skills with a professional attitude.
- Reliable and willing to accept additional tasks and project work.
- Shows attention to detail in completing tasks and requests.
- A minimum of 5 years of experience in a similar role.
- Flexibility to be on call 24/7 in the event of an incident and/or due to supervision of works outside of core business hours.
Nice to Have
- Previous exposure to Investment Banking or premium client service would be an advantage.
- Technical knowledge would benefit but is not essential in this role.
