About the Role
The Facilities Administrator ensures smooth daily operations of commercial facilities by overseeing maintenance, coordinating with vendors, and maintaining regulatory compliance.
Responsibilities
- Monitor building systems including HVAC, electrical, and plumbing for optimal performance
- Coordinate routine maintenance and emergency repairs with service providers
- Maintain accurate logs and records of facility inspections and work orders
- Support compliance with health, safety, and environmental regulations
- Manage access control and security protocols for building occupants
- Track facility-related expenditures and assist with budget reporting
- Respond to occupant service requests in a timely manner
- Schedule janitorial and landscaping services as needed
- Conduct regular site walkthroughs to identify maintenance needs
- Assist in implementing sustainability initiatives and energy-saving measures
- Coordinate move management and space reconfigurations
- Prepare reports on facility performance and service delivery metrics
- Liaise with property management and client representatives
- Ensure emergency preparedness plans are up to date
- Oversee waste management and recycling programs
- Maintain vendor contracts and evaluate service quality
- Support audits and regulatory inspections
- Administer permits and licenses for facility operations
- Track inventory of facility supplies and equipment
- Promote safe work practices among staff and contractors
- Utilize CMMS for work order tracking and asset management
- Facilitate communication between tenants and operations teams
- Assist with lease compliance and space utilization reporting
- Contribute to continuous improvement of facility processes
- Ensure signage and wayfinding systems are current
