About the Role

The Facilities Administrator ensures smooth daily operations of commercial facilities by overseeing maintenance, coordinating with vendors, and maintaining regulatory compliance.

Responsibilities

  • Monitor building systems including HVAC, electrical, and plumbing for optimal performance
  • Coordinate routine maintenance and emergency repairs with service providers
  • Maintain accurate logs and records of facility inspections and work orders
  • Support compliance with health, safety, and environmental regulations
  • Manage access control and security protocols for building occupants
  • Track facility-related expenditures and assist with budget reporting
  • Respond to occupant service requests in a timely manner
  • Schedule janitorial and landscaping services as needed
  • Conduct regular site walkthroughs to identify maintenance needs
  • Assist in implementing sustainability initiatives and energy-saving measures
  • Coordinate move management and space reconfigurations
  • Prepare reports on facility performance and service delivery metrics
  • Liaise with property management and client representatives
  • Ensure emergency preparedness plans are up to date
  • Oversee waste management and recycling programs
  • Maintain vendor contracts and evaluate service quality
  • Support audits and regulatory inspections
  • Administer permits and licenses for facility operations
  • Track inventory of facility supplies and equipment
  • Promote safe work practices among staff and contractors
  • Utilize CMMS for work order tracking and asset management
  • Facilitate communication between tenants and operations teams
  • Assist with lease compliance and space utilization reporting
  • Contribute to continuous improvement of facility processes
  • Ensure signage and wayfinding systems are current
