Kardex is hiring an Executive Assistant to the Head of Kardex Autostore

About the Role

What You'll Do

Act as a key operational partner to the Head of the Business Unit Autostore, ensuring efficient day-to-day functioning across global teams. Manage intricate calendars, coordinate international travel, and oversee expense reporting with precision and discretion.

Organize and facilitate cross-border meetings, adapting to multiple time zones while preparing agendas, distributing materials, and summarizing outcomes. Use Microsoft Teams and other digital platforms to maintain seamless communication across departments and leadership levels.

Develop polished executive content, including presentations, reports, and briefing documents, tailored to senior stakeholders. Serve as a trusted liaison between the executive and internal teams, external partners, and C-suite leaders, ensuring consistent and timely information flow.

Support company events, leadership workshops, and management sessions, while maintaining organizational records and documentation. Apply AI tools strategically to reduce manual effort and improve efficiency in recurring tasks.

Requirements

  • Formal training or degree in business administration, office management, or a related commercial field
  • Proven experience in executive or senior-level administrative roles, preferably within international or fast-paced environments
  • Fluency in both Portuguese and English, with strong written and verbal communication skills
  • Advanced proficiency in Microsoft Office 365, particularly PowerPoint, Excel, and Teams
  • Demonstrated ability to use AI tools to enhance productivity and streamline workflows
  • High level of organization, initiative, and attention to confidential details
