As Executive Assistant, you will deliver high-level administrative and organizational support to the Head of the Autostore Business Unit in a dynamic, global setting. Based in Greater Lisbon, you will manage complex calendars, coordinate international travel, and oversee expense reporting with precision and discretion. Your role ensures the executive’s priorities are aligned and executed efficiently across time zones and departments.
Key Responsibilities
- Manage executive calendars, global meeting coordination, and event logistics, including agendas, materials, Microsoft Teams sessions, and timely follow-up on action items
- Prepare professional documents such as presentations, reports, and briefing materials, ensuring clarity, accuracy, and timely delivery
- Act as a central communication hub, connecting senior leaders, regional teams, and executive assistants to maintain consistent and reliable information flow
- Organize management workshops, leadership meetings, and internal documentation, including organizational charts and process updates
- Leverage AI tools to automate routine tasks and improve efficiency in daily operations
- Provide backup support to other administrative colleagues when needed
Qualifications
You bring a solid educational background in business administration, office management, or a related field, along with proven experience in senior-level administrative roles. Fluency in English is essential, and proficiency in Portuguese is expected. Additional languages are an asset. You are skilled in Office 365—especially PowerPoint, Excel, and Teams—and adept at navigating virtual collaboration environments.
Success in this role requires strong organizational abilities, discretion, and a proactive approach to anticipating needs. Familiarity with AI-driven productivity tools is preferred. A commitment to professionalism, accuracy, and cross-cultural communication is essential.
