Obsidian Systems is hiring an Executive Assistant to Founders

About the Role

The role involves providing high-level administrative support to founders, ensuring smooth day-to-day operations, and acting as a liaison across internal and external networks.

Responsibilities

  • Manage complex calendars and schedule meetings across multiple time zones
  • Prepare agendas, presentations, and briefing materials for leadership discussions
  • Handle sensitive information with discretion and confidentiality
  • Coordinate travel arrangements and itineraries for executives
  • Track and follow up on action items from meetings and communications
  • Serve as a point of contact for internal and external stakeholders
  • Anticipate needs and proactively resolve scheduling or logistical conflicts
  • Organize and lead internal coordination efforts for key initiatives
  • Maintain systems for tracking projects, deadlines, and priorities
  • Draft correspondence, emails, and documents on behalf of leadership
  • Support onboarding and logistics for board meetings and executive events
  • Filter and prioritize incoming requests and communications
  • Work closely with legal, finance, and HR teams on administrative tasks
  • Ensure timely execution of signature follow-ups and document processing
  • Maintain organized records and filing systems for executive activities

Nice to Have

  • Background in technology or startup organizations
  • Experience supporting C-suite executives or founders
  • Familiarity with project management tools such as Asana or Notion
  • Knowledge of legal or compliance documentation procedures
  • Experience coordinating international travel
  • Understanding of executive communication norms and tone
  • Prior work in high-growth or venture-backed companies
