Bridgepoint Investment Banking is hiring an Executive Assistant to CEO & COO

About the Role

The successful candidate will serve as a key point of contact for executive leadership, managing complex calendars, preparing reports, coordinating travel, and ensuring smooth day-to-day operations for both the CEO and COO.

Responsibilities

  • Manage and prioritize executive calendars with attention to time-sensitive commitments
  • Coordinate domestic and international travel arrangements, including itineraries and documentation
  • Prepare presentations, reports, and correspondence for internal and external distribution
  • Serve as a liaison between executives and internal teams, clients, and external partners
  • Organize and schedule high-level meetings, board sessions, and industry events
  • Maintain strict confidentiality of sensitive business and personnel information
  • Anticipate executive needs and proactively address upcoming requirements
  • Track and follow up on action items and deliverables from leadership meetings
  • Handle expense reporting and corporate card reconciliation efficiently
  • Support special projects and strategic initiatives led by executive officers
  • Draft and edit communications with precision and professional tone
  • Ensure timely preparation and distribution of pre-meeting materials
  • Maintain organized digital and physical filing systems for executive records
  • Act as a gatekeeper for executive time, filtering requests and prioritizing access
  • Facilitate internal communication flow across departments for leadership
  • Assist in onboarding and orientation for new executive team members
  • Coordinate logistics for executive-hosted events and client engagements
  • Monitor deadlines and key dates relevant to executive responsibilities
  • Provide backup support to other administrative staff when needed
  • Use discretion and judgment when handling sensitive or time-critical matters
