About the Role
The successful candidate will serve as a key point of contact for executive leadership, managing complex calendars, preparing reports, coordinating travel, and ensuring smooth day-to-day operations for both the CEO and COO.
Responsibilities
- Manage and prioritize executive calendars with attention to time-sensitive commitments
- Coordinate domestic and international travel arrangements, including itineraries and documentation
- Prepare presentations, reports, and correspondence for internal and external distribution
- Serve as a liaison between executives and internal teams, clients, and external partners
- Organize and schedule high-level meetings, board sessions, and industry events
- Maintain strict confidentiality of sensitive business and personnel information
- Anticipate executive needs and proactively address upcoming requirements
- Track and follow up on action items and deliverables from leadership meetings
- Handle expense reporting and corporate card reconciliation efficiently
- Support special projects and strategic initiatives led by executive officers
- Draft and edit communications with precision and professional tone
- Ensure timely preparation and distribution of pre-meeting materials
- Maintain organized digital and physical filing systems for executive records
- Act as a gatekeeper for executive time, filtering requests and prioritizing access
- Facilitate internal communication flow across departments for leadership
- Assist in onboarding and orientation for new executive team members
- Coordinate logistics for executive-hosted events and client engagements
- Monitor deadlines and key dates relevant to executive responsibilities
- Provide backup support to other administrative staff when needed
- Use discretion and judgment when handling sensitive or time-critical matters
