About the Role
This position offers comprehensive administrative and organizational support directly to the CEO, ensuring smooth operations and effective communication across departments and external stakeholders.
Responsibilities
- Manage the CEO's calendar, including scheduling meetings, calls, and travel arrangements
- Prepare agendas and coordinate logistics for executive meetings and board sessions
- Serve as a primary point of contact for internal and external parties seeking CEO access
- Draft, edit, and finalize correspondence, presentations, and reports
- Maintain confidentiality of sensitive company and executive information
- Track and follow up on key action items and deliverables from leadership meetings
- Coordinate special projects and initiatives assigned by the CEO
- Organize domestic and international travel itineraries and accommodations
- Handle expense reporting and budget tracking for executive office activities
- Screen and prioritize incoming communications including emails and phone calls
- Liaise with department heads to ensure timely execution of CEO directives
- Maintain organized physical and digital filing systems for executive documents
- Assist in preparing materials for investor relations and public disclosures
- Support onboarding and scheduling for new executive hires
- Facilitate communication between the CEO and global teams across time zones
- Ensure timely responses to high-priority requests and correspondence
- Coordinate logistics for corporate events and executive visits
- Monitor deadlines and deliverables related to strategic initiatives
- Provide backup support to other executive assistants when needed
- Maintain up-to-date contact databases for key stakeholders
- Assist in translating documents when necessary for international operations
- Implement office procedures to improve executive support efficiency
- Act as a gatekeeper to protect the CEO’s time and focus
- Anticipate logistical needs for upcoming meetings and events
- Support crisis communication efforts when required
