Key Responsibilities
- Oversee and refine the executive’s schedule, balancing strategic priorities and personal commitments across multiple time zones.
- Organize international travel, including flights, accommodations, visas, and ground logistics, adapting swiftly to last-minute changes.
- Draft and finalize correspondence, presentations, and reports using tools like PowerPoint and Canva, ensuring clarity and professionalism.
- Act as a gatekeeper, filtering requests and preparing briefing materials to maximize executive efficiency.
- Coordinate participation in global conferences, industry events, and speaking engagements, managing all logistical details.
- Lead meeting preparation, including agendas and documentation, and follow up on action items to ensure accountability.
- Maintain accurate digital and physical records, supporting compliance and institutional reporting as needed.
- Build trusted relationships with stakeholders, ensuring a professional experience for all executive interactions.
Qualifications
You bring a minimum of three years of experience supporting C-level executives in a global environment. You are highly organized, discreet, and skilled at anticipating needs before they arise. Your fluency in English and at least one of French, German, or Luxembourgish enables seamless communication. You hold a valid driving license and are authorized to work in Luxembourg.
Proficiency with Microsoft Office, Google Workspace, Outlook, Google Calendar, and Concur is essential. You thrive under pressure, manage multiple priorities with precision, and adapt quickly to evolving demands.
