Kootenai Health is looking for an Executive Assistant to provide proactive, strategic, and highly confidential administrative support to one or more Chiefs or Executive Vice Presidents. You'll act as a trusted partner, using independent judgement to ensure seamless coordination and uphold the highest standards of professionalism in our award-winning healthcare environment.
What You'll Do
- Partner with assigned executives to understand goals, priorities, and organizational initiatives.
- Anticipate information and coordination needs based on upcoming projects and meetings.
- Provide executive-level decision support by preparing context and synthesizing information.
- Identify and anticipate gaps, risks, or barriers, proactively adjusting plans to maintain alignment.
- Exercise discretion to plan, organize, and execute work effectively for achieving objectives.
- Demonstrate sound judgment, confidentiality, and professionalism in all communication.
- Manage executive calendars, correspondence, and meeting logistics with precision.
- Coordinate agendas, materials, and documentation for 1-2 executive-sponsored steering or governance committees.
- Utilize Microsoft 365 tools to organize workflows and enhance collaboration.
- Track key deliverables and follow-up items to ensure accountability and progress.
- Seek opportunities to streamline processes and strengthen operational systems.
- Serve as a liaison between executives, leadership teams, and internal/external stakeholders.
- Prepare and edit correspondence, presentations, and reports with accuracy.
- Ensure timely communication flow between leadership and departments.
- Represent executive leadership with integrity and service excellence.
- Engage in continuous learning to advance administrative and organizational expertise.
- Model adaptability and composure amid change.
- Participate in department and organizational improvement efforts.
- Support a collaborative, positive, and high-performing team culture.
- Rely on experience and judgment to plan and accomplish goals.

- Be competent to meet age-specific needs of the unit assigned.
What We're Looking For
- High school diploma or equivalent.
- Minimum 5 years’ experience supporting C-suite executives, or 3 years supporting director-level leaders within Kootenai Health.
- Proficient with Microsoft 365 (Outlook, Teams, SharePoint, OneNote, Loop, Power Automate, Excel, Word, PowerPoint).
- Excellent written and oral communication skills.
- Experience with proof-reading and editing.
- Must be extremely organized.
- Must be skilled in handling time-sensitive and confidential matters.
- Must be commissioned as a Notary Public in the State of Idaho or obtain commission within 6 months of employment.
- Ability to rapidly acquire and apply executive-specific knowledge—such as healthcare terminology, financial concepts, or quality metrics—to anticipate needs and support decision-making.
Nice to Have
- Associate or bachelor’s degree.
- Knowledge of web-based navigation and technology.

Work Mode
This position is onsite in Coeur d'Alene, Idaho. Regular and predictable attendance is an essential job function.
