GreenLite is hiring an Executive Assistant to serve as a combined support and operations leader. You will provide strategic, high-level support to our executives while ensuring our Manhattan office runs efficiently, acting as a central hub for our operations.
What You'll Do
- Manage complex calendars for senior executives, coordinate domestic and international travel, draft professional correspondence, and screen and prioritize incoming communications.
- Oversee the day-to-day functioning of the NYC office, including managing office supplies, vendor relationships, and facilities coordination.
- Prepare agendas and briefing materials for meetings, take minutes, track action items, and handle expense reporting.
- Assist with onboarding new hires, including preparing workspaces and coordinating IT setup.
- Organize and coordinate company events, team lunches, and other culture-building activities.
- Provide administrative support for special projects, including research, data compilation, and deadline tracking.
- Help create, document, and enforce office-wide policies and procedures.
- Maintain the strictest confidentiality regarding sensitive company information and strategic plans.
What We're Looking For
- 4-7 years of progressive experience as an Executive Assistant and/or Office Manager supporting senior leadership.
- Superior ability to manage multiple priorities, complex calendars, and office-wide tasks with meticulous attention to detail.
- Exceptional verbal and written communication skills, with the ability to compose professional correspondence.
- Proven ability to handle highly confidential information with the utmost discretion.
- A self-starter who can anticipate needs, problem-solve independently, and take initiative to improve processes.
- Advanced proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) and experience with office management, CRM, and project management tools.
- Ability to thrive in a dynamic, rapidly evolving environment, manage ambiguity, and adapt to changing priorities.
- A Bachelor’s degree is required.
Nice to Have
- Experience in a tech startup is highly preferred.
- Interest or experience in construction or real estate development.
