About the Role
The role involves delivering comprehensive administrative assistance to executives, managing complex calendars, preparing documentation, and serving as a key point of contact across teams and external partners.
Responsibilities
- Manage executive calendars, including scheduling meetings, calls, and travel arrangements
- Prepare and edit correspondence, reports, and presentations for internal and external distribution
- Coordinate logistics for executive travel, including bookings, itineraries, and expense reporting
- Serve as a primary point of contact for internal teams and external stakeholders
- Organize and prioritize incoming communications, filtering urgent matters appropriately
- Maintain confidential and sensitive information with discretion
- Support preparation for board meetings, executive sessions, and leadership events
- Track action items and follow up on deliverables from meetings
- Assist in compiling data and reports for executive review
- Facilitate communication between departments and leadership teams
- Handle expense reporting and financial documentation accurately and on time
- Coordinate internal and external event planning as needed
- Maintain organized digital and physical filing systems
- Anticipate executive needs and proactively address upcoming requirements
- Ensure timely completion of delegated tasks and projects
