Responsibilities
- Oversee intricate scheduling for the CEO and Chief of Staff, proactively resolving conflicts and conducting regular two-month forward calendar reviews.
- Prioritize and manage competing executive demands in alignment with strategic objectives and time management goals.
- Draft, revise, and finalize documents, presentations, and executive correspondence with precision and professionalism.
- Monitor and reconcile executive expenditures, including P-Card transactions, expense reports, and procurement approvals per company guidelines.
- Participate in executive offsites and leadership meetings to manage logistics and ensure administrative follow-through.
- Act as the main point of contact for internal and external parties on matters involving the CEO and Chief of Staff.
- Deliver personal administrative assistance to the CEO as needed.
- Serve as the liaison between executive leadership and the Board of Directors.
- Collaborate with the Chief of Staff and external board support teams to maintain a rolling 12-month schedule for board meetings.
- Coordinate all board meeting logistics, including scheduling and on-site arrangements.
- Support board members with travel coordination and expense reporting for GHX-related business activities.
- Maintain the Board Fracture document with accurate and up-to-date information.
- Arrange domestic and international travel, including flights, accommodations, meals, and ground transportation.
- Provide immediate support during travel disruptions, offering alternatives and implementing changes efficiently.
- Create detailed itineraries for conferences, offsites, and multi-leg trips.
- Plan and execute high-level events, including venue booking, catering, logistics, and on-site problem resolution.
- Support the planning and execution of small and large special projects such as conferences and corporate events.
- Work closely with the Executive Administrator team to ensure seamless support across the executive leadership group.
- Anticipate administrative needs, set priorities, and propose solutions to enhance team and operational efficiency.
- Manage electronic and physical records in compliance with GHX Security and Compliance standards.
- Adhere to all company policies, including those related to Travel & Expense, Compliance, and Security.
- Complete additional tasks as assigned by executive leadership.

- Up to 10% travel is required for executive offsites, administrative team meetings, and company functions.
- Travel consists of domestic trips arranged by the Sr. Manager of PX Administration and Program Management or upon request from executive leadership.
