What You'll Do
- Organize and prioritize executive schedules, balancing strategic meetings with urgent demands in a dynamic environment.
- Prepare agendas, presentations, and briefing materials for leadership reviews and technical discussions.
- Lead virtual meeting logistics, document key outcomes, and track follow-up items to maintain momentum across teams.
- Facilitate cross-functional collaboration by coordinating with other executive assistants and departments on company-wide initiatives.
- Initiate and manage purchase orders, vendor invoicing, and procurement processes for engineering services.
- Conduct research, compile data, and support special projects that improve operational effectiveness.
- Step in as backup for administrative functions across teams as business needs evolve.
Requirements
- Minimum of 7 years of experience providing executive-level support, ideally within engineering or technical organizations.
- Proven ability to operate independently while maintaining strong alignment with remote leaders and distributed teams.
- Outstanding organizational skills with the capacity to manage shifting priorities under tight timelines.
- Excellent communication abilities, including drafting professional correspondence and executive documentation.
- High judgment and integrity when handling confidential and sensitive information.
- Proactive problem solver who anticipates needs and takes initiative without direct oversight.
- Advanced fluency with Outlook, Microsoft Office, and digital calendar tools used for scheduling and coordination.

Work Mode
This position operates in a hybrid model. Employees are expected to be in the office Monday through Thursday. Friday offers flexibility for remote work, unless role-specific requirements mandate full-time office presence. The role supports teams across the United States and EMEA regions.
