Humana is hiring an Executive Administrative Assistant to provide high-level support for approximately three senior-level executives within the Marketing organization. This role is critical for maintaining smooth operations, managing complex schedules, and producing essential documents while upholding the highest standards of confidentiality in a dynamic environment.
What You'll Do
- Transcribe, format, and proofread correspondence, invoices, contracts, presentations, and reports using Microsoft Office.
- Coordinate internal and external meetings, including all logistics, scheduling, and travel arrangements.
- Manage executive calendars and schedules with precision.
- Distribute incoming mail, prepare outgoing communications, and maintain office files and supplies.
- Communicate clearly with internal and external stakeholders via phone, digital platforms, and in person.
- Organize all details for business meetings, including catering, logistics, and remote access.
- Assist the leadership team with preparing presentations, reports, and responses to requests.
- Maintain and manage detailed travel schedules and arrangements.
- Determine the proper course of action for incoming requests, calls, and correspondence.
- Anticipate needs and proactively eliminate potential bottlenecks.
- Handle the executive floor's audio/visual needs if working onsite.
What We're Looking For
- 3+ years of experience supporting multiple senior-level executives in a large, complex organization.
- Proven experience managing calendaring, scheduling, travel planning, and expense management simultaneously with a low error rate.
- Strong proficiency in Microsoft Office (Word, PowerPoint, Excel, Outlook).
- Excellent attention to detail and outstanding verbal and written communication skills.
- Ability to build strong working relationships both internally and externally.
- Demonstrated ability to always retain confidentiality.
Nice to Have
- An Associate's or Bachelor's Degree.
- Experience with internet research and proof-reading/editing.
- Experience using various visual collaboration platforms like Lucid or Loop.
