Serve Robotics was looking for an Events & Media Producer

Serve Robotics is hiring an Events & Media Producer to own the end-to-end operational delivery of advertising campaigns and event activations. This position aligns clients, Operations, Event Venues, Partnerships, Hardware, Finance, and Legal to ensure every media campaign and event runs cleanly, on time, and to spec.

We are tech industry veterans pooling our skills to build the future we want to live in, solving real-world problems with robotics and AI. Our team is agile, diverse, driven, and believes the best way to solve complicated dynamic problems is collaboratively and respectfully.

What You'll Do

  • Drive full-cycle event and campaign execution once contracts are closed, ensuring all deliverables, timelines, and workstreams are aligned across internal and external stakeholders.
  • Build, manage, and track event and campaign budgets; maintain cost discipline and flag risks early.
  • Own logistical coordination, including robot shipment, scheduling, wrapping, creative collateral, merchandise, and onsite needs for each activation.
  • Ensure event teams receive clear, complete SOWs and that expectations are communicated to clients and internal partners for seamless execution.
  • Source, schedule, and coordinate staffing—including internal leads and external vendors—to meet event requirements.
  • Manage travel arrangements for all event personnel and partners, optimizing for cost and efficiency.
  • Work with Policy teams to secure required permits for each venue or jurisdiction.
  • Partner with Legal to obtain COIs and ensure contracts, venue agreements, and compliance documents are in place.
  • Deliver post-event and post-campaign reporting, including performance summaries, learnings, and financial reconciliation.

What We're Looking For

  • Bachelor’s degree in Business, Marketing, Sales or other related field, or equivalent work experience.
  • 0-2 years of experience planning and managing corporate events.
  • Proven project management capability with the ability to set deadlines, manage milestones, and drive cross-functional accountability.
  • Strong communication and leadership presence; able to influence without authority and negotiate with internal and external stakeholders.
  • High attention to detail with strong organizational discipline; able to juggle multiple campaigns and pivot quickly when needed.
  • Financial fluency, including budgeting, cost tracking, and vendor management.
  • Customer-first mindset, with the ability to manage client expectations and deliver high-quality experiences.
  • Technical proficiency with project management and event logistics tools.

Nice to Have

  • Experience with event management platforms (e.g., Whova, Monday.com).
  • Creative problem-solving in designing both internal and client-facing event experiences.
  • Strong understanding of attendee needs and event flow dynamics.
  • Comfortable delegating, coordinating, and motivating event teams.
  • Experienced in vendor negotiations and contract coordination.
  • Awareness of current industry trends and best practices in experiential marketing and event production.
