The Document Specialist ensures precise and timely preparation of legal documents for clients and government agencies, supporting trademark and copyright submissions. This role demands close adherence to procedures, government regulations, and internal workflows while delivering consistent customer updates and collaborating across departments in a remote setting.
Responsibilities
- Develop expertise in trademark and copyright filing processes through ongoing training and learning
- Produce legal documents accurately and within required timeframes for customers and government entities
- Coordinate third-party submissions and manage deadlines for process serving
- Maintain high-quality service by following established procedures, tracking time metrics, resolving processing issues, and staying current with government requirements
- Collaborate effectively with legal, customer service, and operations teams across the organization
- Provide regular and clear status updates to customers on document progress
- Support operational efficiency by cross-training in related roles and responsibilities
- Assist the team by completing additional tasks and contributing to shared goals as needed
Requirements
- Experience in copyediting, proofreading, or detailed review of documentation
- Proficiency in using Microsoft Office, internet tools, and common software applications
- Ability to work effectively in a team-oriented, fast-paced environment while managing multiple tasks
- Strong communication skills with the ability to explain complex information clearly to non-specialists
- Self-motivated with a willingness to learn new responsibilities and work independently
- Highly organized, proactive, adaptable, and focused on precision
- Background in conducting general research
