Responsibilities
- Input customer and transaction data into the ERP system and confirm data integrity
- Collaborate with sales, production, logistics, and clients to verify delivery terms and conditions
- Support clients by providing updates and guidance throughout the ordering process
- Respond to incoming calls, relay information, take messages, or direct calls to relevant staff
- Maintain records and update documentation including sales orders, return approvals, and invoices
- Engage daily with sales, operations, and warehouse teams for seamless coordination
- Ensure all purchase orders are dispatched on schedule to meet internal performance standards
- Guarantee invoices are issued to customers within one day of shipment
- Partner with internal departments to address and resolve service-related issues
- Liaise with warehouse staff on customer-specific shipping and routing instructions
- Address customer questions and concerns with professionalism and accuracy
- Share pricing details and product availability, issuing quotes when required
- Handle electronic data interchange (EDI) order processing
- Process and invoice orders submitted through customer online portals
- Coordinate with freight carriers to arrange shipments and submit claims for lost or damaged goods
- Provide freight cost estimates and rate quotes to internal teams and clients
- Prepare international shipping paperwork such as proforma invoices, shipper's letters of instruction, bills of lading, commercial invoices, packing lists, and certificates of origin
- Interpret and apply customer incoterms to ensure order compliance with contractual agreements
- Work with customs brokers, freight forwarders, and third-party logistics providers to manage cross-border shipments
