The Contract Processing Specialist III will support contract managers and contractors in processing contracts, modifications, and vouchers within the Office of Administration and Contract Management at the AIDS Institute. This role involves managing fiscal processes, tracking payments, and ensuring compliance with state and grant requirements while working across financial and grants management systems.
Responsibilities
- Perform a comprehensive review of contract budgets and corresponding payments
- Provide technical assistance to contractors and contract managers
- Track contracts and payments
- Assist in performing fiscal monitorings
- Work in a contract database and various grants and financial management systems daily
- Juggle multiple priorities, communicate clearly, and keep work organized and on track
- May perform other appropriate related duties including supervising staff
Requirements
- Bachelor’s degree in a related field and one year of fiscal or accounting experience; OR
- An Associate's degree in a related field and three years of fiscal or accounting experience; OR
- Five years of fiscal or accounting experience
- Valid and unrestricted authorization to work in the U.S.
- Compliance with funding requirements such as time and effort reporting, grant deliverables, and contract deliverables
- Reside within a reasonable commuting distance of the official work location
- Be located in or willing to relocate to one of the following states: New York, New Jersey, Connecticut, Vermont, or Massachusetts, prior to hire
Preferred Qualifications
- Experience working on contracts in an administrative/fiscal capacity
- Experience in reviewing and processing contract budgets and reimbursement vouchers
- Experience reviewing supporting fiscal documentation to ensure contractor compliance with fiscal and administrative requirements
- At least one year of experience using a financial management system
- Experience using a grants management system

Compensation
Minimum: $62,514.00 - Maximum: $62,514.00 Annually; Positions with a designated work location in New York City, Nassau, Rockland, Suffolk, or Westchester Counties will receive a $4,000 annual downstate adjustment (pro-rated for part-time positions)

Hybrid — New York, New Jersey, Connecticut, Vermont, Massachusetts — Combination of onsite and remote work; must reside within a reasonable commuting distance of the official work location
