As a Client Support Specialist, you will serve as a trusted resource for veterinary clinics, hospitals, and technicians who rely on a digital staffing solution. Your primary responsibility is to respond promptly and effectively to inquiries through email, live chat, and phone, ensuring users receive clear, accurate, and timely support.
Key Responsibilities
- Act as a frontline contact for customer questions and technical concerns, using email, chat, and phone channels to deliver reliable solutions.
- Diagnose and resolve first-level issues independently, escalating complex cases to regional teams or other departments when necessary.
- Support call-out processes by following established protocols and ensuring smooth coordination during urgent staffing needs.
- Document recurring challenges and edge cases, sharing insights with internal teams to strengthen system resilience and user guidance.
- Keep client records up to date in Hubspot, maintaining a clear history of interactions and support tickets.
- Collaborate with Finance, data, and operations teams to reconcile shift details, payments, and unexpected scenarios, generating reports as needed.
What We’re Looking For
You bring at least two years of customer-facing support experience, ideally in a fast-moving startup. You communicate clearly, manage tasks efficiently, and take initiative in documenting and improving workflows. Familiarity with support platforms like Hubspot is essential. A background in veterinary technology or animal healthcare is a strong plus, as it helps you connect more deeply with users’ needs.
Work Environment
This is a remote-first role with hybrid options available for those in San Francisco. You’ll work during core client hours, which include early mornings, early evenings in Central Time, and occasional weekend rotations.
