Client Service Representative - Entry Level
Role Overview
This position supports the records retrieval process within a legal services environment. You will play a key role in gathering critical documentation, including medical records, radiology images, insurance files, billing data, and employment records, all used to support legal cases. Success in this role depends on consistent follow-up, clear communication, and attention to detail.
Key Responsibilities
- Deliver daily updates to clients using phone calls, emails, memos, and electronic faxes
- Track record requests by contacting facilities regularly through calls, emails, and fax checks, and send reminder letters when needed
- Prepare and distribute new service documents each day to initiate record collection
- Work with clients and internal staff to revise or resend requests as necessary
- Review, verify, and process incoming documents to ensure they meet subpoena and authorization requirements
- Issue payments and request additional details from record custodians to keep retrieval efforts moving
- Notify all involved parties when requests are canceled, reissued, or met with objections
- Update order statuses and codes in internal software to maintain accurate tracking
- Support multiple service areas rather than being assigned to a single client
- Complete additional tasks as directed by management
Technology Used
Work is conducted using a proprietary software system for tracking and managing record requests.
Work Schedule
This is an onsite role with standard business hours from 8:00 AM to 5:00 PM, Monday through Friday.
