Responsibilities
- Partner with Project Managers to assign team roles, manage staffing needs, and provide performance evaluations
- Organize and record internal and client-facing meetings, aligning team members, vendors, and external consultants
- Engage in contract discussions with clients, handle change orders, and authorize updates to project plans
- Contribute to business growth by assisting with proposal submissions and joining client-facing presentations
- Monitor invoicing accuracy, verify alignment with project deliverables, and oversee accounts receivable processes
- Help negotiate service scopes, fees, and formalize agreements between owners, architects, and consultants
- Maintain up-to-date and thorough client and project records in the Vantagepoint system
- Direct the definition of core services, aligning scope, pricing, outputs, and timelines across all disciplines
- Create detailed project plans in Planifi, including timelines and staffing, and launch assigned tasks in INDEPRO
- Oversee project delivery to meet defined objectives for scope, quality, budget, and schedule, coordinating all team participants
- Monitor progress against key milestones, verify quality and timeliness of deliverables, and report status with adjustments
- Support the development of change proposals, manage expanded service requests, and assist with billing and fee collection
- Guide and develop project teams, ensure adherence to project plans, and maintain consistent client communication
- Work closely with design leadership to uphold quality benchmarks and embed design excellence throughout all project phases
