Role Overview
This position serves as the central connection between clients and inspection teams, ensuring timely and compliant elevator testing and certification. The coordinator manages end-to-end scheduling, client communication, and data accuracy to support seamless service delivery.
Key Responsibilities
- Act as the primary contact for client questions about inspections, timelines, and regulatory requirements
- Coordinate appointment scheduling between clients and field technicians, resolving conflicts and sending timely confirmations
- Maintain up-to-date client records and account details in internal systems
- Assign work orders to inspectors based on location and availability
- Review inspection reports for completeness and accuracy, initiating corrections when needed
- Monitor compliance deadlines and ensure adherence to standards such as ASME A17.1 and local codes
- Communicate inspection results and follow-up actions to clients
- Support billing processes by submitting required documentation and assisting with invoice inquiries
- Process renewals, amendments, and purchase orders using standardized contract templates
- Update compliance databases and client portals regularly
- Document service issues, delays, or special conditions to maintain clear audit trails
- Collaborate with accounts receivable on outstanding payments and dispute resolution
- Meet biweekly payroll and monthly billing deadlines consistently
- Complete assigned training programs on schedule
- Contribute to service improvements by gathering and sharing client feedback
Qualifications
Candidates should have a high school diploma or equivalent and at least two years of experience in client service or account coordination. Proficiency with Microsoft Office and scheduling tools is essential, along with strong organizational and data entry skills. The ideal candidate communicates clearly, adapts quickly to new systems, and manages multiple tasks efficiently.
Some college coursework or familiarity with building systems and elevator inspections is beneficial but not required.
