About the Role

Agent is hiring a Chief of Staff to serve as the strategic partner and operational integrator for two entrepreneurs. You will bring structure to their vision, translating strategic priorities into actionable plans and executing them flawlessly across a diverse portfolio of ventures.

What You'll Do

  • Drive key business initiatives from conception to completion, ensuring projects are delivered on time and within budget.
  • Develop and maintain overall project plans for a fiduciary tech venture, coordinating among stakeholders.
  • Manage tech development teams and assist with UI/UX development by providing feedback on storyboards and Figma designs.
  • Participate in key team meetings, take notes, and provide summaries and feedback.
  • Interface with legal counsel.
  • Create, update, and maintain business plans, investor presentations, customer presentations, financial models, and CRM of prospective clients and partners.
  • Act as the central point of coordination for international projects in Milan, Italy, managing family, legal counsel, and other stakeholders.
  • Source, vet, and manage relationships with Italy-based service providers, including accountants, lawyers, architects, and contractors.
  • Conduct quantitative analyses as necessary.
  • Serve as the primary liaison with external partners for new ventures, ensuring clear communication and alignment on project goals.
  • Lead the initiative to establish a formal family office structure.
  • Build and maintain a centralized inventory of professional contacts across the US, Italy, and Guatemala.
  • Handle sensitive and confidential personal projects, such as coordinating with legal counsel for prenuptial agreements.
  • Recruit, onboard, and manage a team of part-time virtual assistants, operations associates, and specialized contractors.
  • Delegate tasks effectively, providing clear instructions and holding team members accountable.
  • Develop and implement standardized operating procedures (SOPs) and systems to improve efficiency across all business units.
  • Oversee and streamline support for existing hospitality businesses, implementing maintenance schedules and managing vendor relationships.
  • Develop and refine operations manuals and business expansion models for hospitality.
  • Ensure systems are in place to handle customer inquiries and catering logistics.
  • Manage the process for paying overseas contractors and vendors.
  • Oversee expense tracking and reporting for various business entities and personal accounts.
  • Coordinate with bookkeepers and accountants to ensure financial accuracy.
  • Manage key administrative and compliance tasks for construction and property management, including overseeing insurance, licensing, and permit applications.

What We're Looking For

  • 5+ years of experience in a Chief of Staff, operations management, or senior project management role, preferably supporting C-level executives or entrepreneurs.
  • Professional fluency in both English and Spanish (written and verbal).
  • Master of organization and project management, able to juggle multiple complex projects simultaneously.
  • Proactive and autonomous, comfortable working independently in a remote environment.
  • Financially literate, comfortable creating business models, managing budgets, and overseeing financial administration.
  • Proficient with modern business software, including project management tools, CRMs, and communication platforms.
  • Utterly discreet, with non-negotiable integrity and discretion for handling confidential information.

Nice to Have

  • Experience with Figma.

Team & Environment

You will report directly to and serve as the right hand to the two principals/entrepreneurs. You will manage a team of part-time virtual assistants, operations associates, and specialized contractors.

Benefits & Compensation

  • Salary: USD $3500 - 3800 per month.

Work Mode

This is a fully remote position open to candidates located in LATAM.
