About the Role

PowerLines is hiring a Chief of Staff to directly support the Founder and Executive Director. In this role, you will act as a force multiplier and operational linchpin for a rapidly growing, early-stage nonprofit startup, ensuring the smooth execution of strategy and streamlined internal processes. You will be central to managing up and across the organization in a fast-paced, dynamic environment where every day presents new challenges and opportunities for impact.

What You'll Do

  • Run weekly team meetings and lead preparation for internal meetings, including agenda development and notetaking.
  • Manage internal and external workstreams and personnel, untangle organizational bottlenecks, and ensure optimal success.
  • Lead organizational project management, including maintaining team progress trackers and developing KPIs and success metrics.
  • Support the development and implementation of external engagement strategy for conferences, media, speaking opportunities, and strategic events.
  • Support organizational and individual review processes, including the development of goals.
  • Provide operational support to PowerLines projects and teams as needed.
  • Support strategic planning and execution, keeping plans dynamic and responsive.
  • Lead, develop, and assign ad hoc requests and special projects.
  • Develop and maintain internal databases, including team folders, CRM systems, and dashboards.
  • Embed technological and AI solutions to drive organizational efficiency.
  • Oversee planning and execution of logistics for strategic events and convenings.
  • Execute processing of reimbursements, receipts, and other expenses.
  • Manage hiring and onboarding of new team members, including drafting role descriptions and contracts.
  • Serve as an extension of the Executive Director, attending internal and external meetings on their behalf as needed.
  • Oversee development of briefing books and preparatory materials for the Executive Director.
  • Develop internal and external strategic memos, decks, and other materials.
  • Work regularly with the Executive Director to ensure priorities and key tasks are completed.
  • Draft internal memos and organizational messages to ensure strong internal communications and alignment.
  • Ensure follow-up with key contacts from the Executive Director's external engagements.
  • Travel with the Executive Director as needed.
  • Support the Executive Director in coordination with major philanthropic partners.
  • Support drafting of fundraising decks, grant proposals, budgets, memos, and reports.
  • Support development of impact reports, dashboards, and the annual impact report.
  • Support building of organizational and team culture, including planning retreats and team-building events.
  • Develop systems to ensure strong cross-departmental communications and collaboration.
  • Support professional development opportunities for PowerLines team members.

What We're Looking For

  • Proven experience in an operational, project management, or chief of staff role, preferably in a startup or fast-paced environment.
  • Exceptional organizational and systems-thinking skills with the ability to manage multiple complex workstreams simultaneously.
  • Strong strategic and analytical abilities to support planning and develop success metrics.
  • Excellent written and verbal communication skills for drafting memos, reports, and external materials.
  • High degree of initiative, discretion, and ability to manage up and across an organization effectively.
  • Experience with project management tools, database management (including CRM), and a knack for implementing tech/AI solutions.
  • Ability to handle sensitive information with confidentiality and serve as a trusted representative of leadership.
  • Willingness to travel and adapt to the dynamic schedule of an early-stage nonprofit.
  • A passion for operational excellence and supporting mission-driven work.

Team & Environment

You will work closely with and report directly to the Founder and Executive Director. The role is embedded in a nimble, high-velocity startup environment at a rapidly growing nonprofit, offering significant opportunities for professional growth and the chance to shape the energy landscape.
