HireHawk is looking for a Case Manager Assistant to ensure smooth operational support by organizing case files, tracking deadlines, and preparing professional correspondence. You will collaborate with team members to collect information, maintain accurate records, and provide consistent updates.
What You'll Do
- Log and organize new cases within 24 hours of assignment
- Maintain accurate and complete electronic and physical records
- Prepare professional correspondence, forms, and simple reports with zero errors
- Track and monitor deadlines; proactively notify team members and confirm follow-up actions
- Communicate with stakeholders to gather missing documents or clarify details
- Uphold confidentiality and data protection standards at all times
- Provide weekly updates to team leads with accurate case status reporting
- Suggest process improvements that increase consistency and reduce errors
What We're Looking For
- Minimum of 2 years experience in case management support, legal administration, or client services
- Strong organizational and multitasking skills with proven attention to detail
- Excellent English communication skills—both written and verbal
- Proficiency with Microsoft Office, Google Workspace, and database tools
- Ability to handle sensitive and confidential information with discretion
- Reliable wired internet connection (25 Mbps+) and a tested backup option
- Availability to work full-time during Pacific Standard Time hours
Nice to Have
- Experience in legal, medical, or insurance case management environments
- Familiarity with case management software such as Filevine, Clio, or similar platforms
- Prior remote work experience supporting case-heavy or client-facing operations
- Strong time management and prioritization skills under heavy workloads
- Interest in improving systems and workflows to increase efficiency
