Role OverviewThe Bid Coordinator plays a key support role in the pre-construction phase, ensuring bid packages are distributed, tracked, and managed efficiently. You'll coordinate outreach to subcontractors, maintain critical project documentation, and help streamline communication between estimating teams and external vendors. Your work directly supports timely and accurate proposal submissions.
Key Responsibilities
- Distribute project drawings, specifications, and bid requirements to qualified subcontractors and follow up to encourage timely responses.
- Organize and manage bid-related materials including addenda, RFI logs, subcontractor correspondence, and digital files to ensure completeness and accessibility.
- Act as the main contact for subcontractors during the bidding phase, handling logistical inquiries and directing technical questions to the appropriate team members.
- Track bid responses, update bid status reports, and maintain current subcontractor lists for ongoing projects.
- Review historical cost data and past project bids to support estimating accuracy and identify pricing trends.
- Improve and maintain standardized estimating templates, bid forms, and pre-construction documentation to enhance consistency.
- Support estimators with takeoffs, data entry, file formatting, and administrative tasks as needed.
Qualifications
- 1–3 years of experience in construction administration, estimating support, or a similar role.
- Experience managing multiple bid timelines and adjusting priorities under deadline pressure.
- Strong communication skills with subcontractors and internal teams.
- Detail-oriented with proven ability to manage technical documents, drawings, and specifications accurately.
- Familiarity with reviewing cost data and bid history to support estimating efforts.
- Proficiency in Microsoft Office Suite—especially Excel, Word, and Outlook.
- Willingness to learn construction-specific software and digital estimating platforms.
- Proactive, collaborative mindset with a commitment to integrity, accountability, and teamwork.
Work Environment
This is a full-time, fully remote position. Candidates must be located in Kenya and able to work in a flexible, distributed team environment. The role requires consistent communication, organization, and follow-through across digital platforms.
Compensation
Hourly rate up to $8, with opportunities for consistent work and professional growth. No equity or additional compensation components.
