About the Role

Role OverviewWe are seeking a detail-oriented Administrative Coordinator to join our Minneapolis office, providing essential support to key functional teams including Finance, IT, Legal, Marketing, and Operations. This position plays a central role in maintaining efficient workflows, supporting leadership, and contributing to a positive, collaborative work environment.

Key Responsibilities

  • Coordinate daily administrative operations, including scheduling, correspondence, meeting logistics, and document preparation for department leaders.
  • Manage complex calendars, arrange domestic and international travel, and support event planning for conferences and client engagements.
  • Prepare presentations, reports, agendas, and meeting minutes using Microsoft Office and design tools.
  • Support performance review cycles, departmental meetings, and staffing initiatives in partnership with leadership teams.
  • Maintain accurate records, databases, and expense reports, assisting with budget tracking and financial documentation.
  • Onboard new team members by guiding them through administrative processes and connecting them with internal resources.
  • Identify inefficiencies in current workflows and recommend practical improvements.
  • Uphold confidentiality when handling sensitive documents and communications across departments.
  • Collaborate across teams to meet shifting priorities and tight deadlines while maintaining composure and professionalism.

Qualifications

Candidates should bring a minimum of five years of administrative experience, ideally within architecture, engineering, or a professional services setting. Strong organizational abilities and a proactive mindset are essential.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is required.
  • Experience with Adobe and InDesign is preferred.
  • Excellent written and verbal communication skills, with the ability to interact effectively at all levels of the organization.
  • Demonstrated ability to manage multiple priorities, solve problems, and build relationships across departments.
  • Personal qualities include initiative, adaptability, discretion, and a commitment to teamwork.

Education and Background

  • A Bachelor’s degree in Business Administration or a related field is preferred.

Compensation and Benefits

This position offers an hourly wage ranging from $27.74 to $31.35, commensurate with experience.
