Washington University in St. Louis is hiring an Administrative Assistant I to provide general office and administrative support within the Division of Nutritional Science and Obesity Medicine. This role offers a dynamic opportunity to contribute to the division's operations in a fast-paced environment.
What You'll Do
- Provide administrative support including preparing correspondence, reports, and presentations; managing, manipulating, and formatting data and spreadsheets; event and travel support; managing calendars; and managing the division’s social media.
- Perform administrative tasks such as sorting/distributing mail and faxes, telephone support, and greeting invited speakers and guests; respond to inquiries from both external and internal sources.
- Assist with scheduling routine appointments, maintaining office/department calendars, and making routine travel arrangements. Prepare travel expense reimbursements according to guidelines.
- Perform data entry such as invoices and purchase orders, ensuring items are complete through the systems. Monitor, order, and stock division supplies.
- Maintain and update division’s contact information, directories, departmental lists, email lists, databases, and websites. Coordinate and update the division’s social media sites, including the NORC website.
- Coordinate the division’s IT needs, including ordering computers, telephones, and software. Coordinate disposal and disconnection as needed. Coordinate hybrid meetings which could include projectors, computers or creating links.
What We're Looking For
- High school diploma or equivalent high school certification or combination of education and/or experience.
- 1 year of Administration And Office Support work experience.
Nice to Have
- 3 years of Administrative work experience.
- Skills: Communication, Computer Literacy, Detail-Oriented, Interpersonal Communication, Microsoft Access, Microsoft Excel, Microsoft Office, Microsoft Outlook, Microsoft PowerPoint, Microsoft Word, Organizing.
