About the Role

Penn State is hiring an Administrative Assistant, Donor Relations and Special Events to support the Office of Donor Relations & Special Events within the Division of Development and Alumni Relations (DDAR). You will play an integral role in fundraising and alumni relations by providing essential administrative, budgetary, and event support.

What You'll Do

  • Provide administrative support to the Director of Donor Relations & Special Events, arranging meetings and coordinating office calendars.
  • Monitor budget expenditures, serving as a liaison with Finance and maintaining monthly budget tracking.
  • Handle office management tasks, such as screening phone calls, ordering supplies, submitting service requests, and serving as resource lead for computer support.
  • Support the special events and stewardship teams, including serving as registration backup, assisting the football cultivation program, providing on-site event support, and assisting with mailings.
  • Articulate Penn State’s needs, ambitions, and values through excellent informal and formal communications.
  • Maintain and monitor the department calendar and greet office visitors.
  • Provide general office support, manage new staff onboarding procedures, and assist with special projects.

What We're Looking For

  • A General Equivalency Diploma (GED) or High School (HS) diploma.
  • 2+ years of relevant experience; or an equivalent combination of education and experience.
  • Attention to detail and exceptional organization skills.
  • Exemplary interpersonal and communication skills.
  • A proven ability to self-motivate and work both independently and as part of a team.
  • A commitment to professional development, learning, and being mentored.
  • A dedication to and understanding of the skills required to build relationships with various communities.

Nice to Have

  • Knowledge of AWA, Cvent, Workday, and Workfront is helpful.

Team & Environment

You will report to the Director of Donor Relations & Special Events and work closely with central development offices and other University partners.

  • Salary: $38,300.00 - $55,500.00

Work Mode
