What You'll Do
Support the Vice President and Executive Assistant to the CEO by managing complex scheduling, preparing detailed reports, and coordinating meetings and presentations. You'll handle sensitive correspondence and maintain strict confidentiality while ensuring timely delivery of key documents. Organize internal and external meetings, including drafting agendas, arranging logistics, and distributing minutes.
Act as a professional point of contact for visitors and callers, directing inquiries appropriately and providing administrative assistance as needed. Manage travel arrangements, maintain filing systems, and oversee office supply inventory. Take initiative during leadership absences by redirecting urgent matters to the appropriate parties.
Contribute to process improvements, support Board of Directors meetings when required, and assist with special projects. Uphold safety protocols, follow company policies, and maintain a well-organized workspace.
Requirements
- High school diploma or equivalent required
- Five to seven years of experience in administrative support roles
- Demonstrated ability to handle confidential information with discretion
- Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint
- Strong written and verbal communication skills
- Excellent organizational abilities with close attention to detail
- Capacity to manage multiple tasks under pressure while maintaining accuracy
- Self-motivated with the ability to work independently and take direction from multiple stakeholders
- Commitment to professionalism and positive collaboration across departments
- Must become a Notary Public within six months of hire
Preferred Qualifications
- Post-secondary education in administrative studies or a related field
- Experience in an executive or corporate office setting
- Professional certification as an Administrative Assistant
