Role Overview
Join a growing property management organization as an Accounts & Administrative Coordinator, where precision and consistency are central to daily operations. You'll be responsible for maintaining accurate financial records and ensuring smooth administrative functions across multiple systems and teams. This is a full-time, remote position requiring strict attention to detail, a disciplined approach to recurring tasks, and direct support to the business owner.
Key Responsibilities
- Process accounts payable entries with correct categorization by property and expense type, ensuring timely approval and posting
- Record all financial transactions accurately in ResMan, maintaining a clean and audit-ready ledger
- Reconcile credit card statements by matching transactions to receipts, resolving discrepancies before final posting
- Complete utility bill-back entries in ResMan according to schedule and property guidelines
- Generate delinquency reports formatted for export into Smartsheet
- Verify deposit records and correct payment mismatches promptly
- Manage recurring marketing activities, including posting to Craigslist, engaging in Facebook groups, and sending Locator emails
- Provide direct administrative support to the business owner, including scheduling, follow-ups, and task coordination
- Assist the Property Manager and operations team with daily administrative tasks
- Keep digital systems organized across Google Drive, Smartsheet, and email
Required Qualifications
- Proven background in bookkeeping or accounting, specifically within property management or real estate operations
- Direct experience using ResMan or comparable property management platforms
- Track record of managing accounts payable, credit card reconciliation, and recurring financial processes with high accuracy
- Fluent in written and spoken English, with a professional and proactive communication style
- Experience supporting senior leaders in a coordinator capacity
- Established experience working remotely, with proficiency in Slack, Zoom, Google Workspace, Smartsheet, or similar tools. Prior experience supporting US or UK-based teams is required.
Preferred Qualifications
- Background supporting property owners or operations leads in a combined finance and administrative role
- Experience using Smartsheet for reporting and workflow tracking
- Involvement in tenant communications or marketing coordination within property operations
