About the Role

Treantly is hiring a Virtual Assistant Success Coordinator. This role ensures smooth onboarding, clear communication, and long-term success for both virtual assistants and clients. You will act as the bridge between clients and VAs, focusing on alignment, accountability, and satisfaction through performance management and operational support.

What You'll Do

  • Facilitate onboarding calls with new clients and virtual assistants.
  • Ensure role expectations, KPIs, and communication standards are clearly defined and documented.
  • Conduct regular client check-ins, including 30/60/90 day reviews.
  • Monitor VA attendance, productivity, and KPI compliance, reviewing time tracking and performance reports.
  • Identify early warning signs related to engagement, performance dips, or communication gaps.
  • Provide structured feedback and coaching support to VAs and implement improvement plans when necessary.
  • Serve as the first point of contact for client or VA concerns, mediating misunderstandings professionally.
  • Maintain regular check-ins with assigned VAs to ensure they feel supported and aligned.
  • Gather client feedback to improve service quality and support contract renewals.
  • Maintain organized records of all interactions and track KPIs, satisfaction scores, and retention metrics.
  • Provide weekly summary updates to management.

What We're Looking For

  • 3+ years of experience in client success, account management, HR, or operations.
  • Experience working with remote teams or virtual assistants.
  • Strong written and verbal English communication skills.
  • Excellent conflict resolution and problem-solving ability.
  • High attention to detail and documentation accuracy.
  • Comfort handling difficult conversations professionally.
  • Proficiency in CRM systems, Google Workspace, Slack, and time-tracking tools.

Nice to Have

  • Experience in an outsourcing or staffing company.
  • Familiarity with KPI tracking and performance reviews.
  • Experience onboarding clients in a service-based business.
  • Background in HR, operations, or customer success.
