Hireframe is seeking a Virtual Assistant for Live Session Support to ensure the seamless operation of our online meetings and events. You will be responsible for the technical and logistical management before, during, and after sessions, working remotely with a globally distributed team.
What You'll Do
- Join online sessions 20–30 minutes early to perform technical checks.
- Test participant and moderator setups for internet, video, audio, and screen sharing.
- Welcome respondents and ensure they are ready and comfortable.
- Coordinate with the moderator or translator to align on session flow.
- Start recording at the scheduled time.
- Stay in the session for the first 10 minutes to ensure a smooth start.
- Monitor the session in the background for issues after the initial period.
- Rejoin quickly to troubleshoot technical issues or respond to team messages.
- Send reminders to late participants and resolve access problems.
- Add backup participants if needed and notify the team of any session size changes.
- Remain available for follow-up troubleshooting throughout the session.
- Monitor the backend to provide ongoing support.
What We're Looking For
- Strong spoken and written English.
- A stable internet connection and a quiet, professional workspace.
- Confidence using online video platforms like Zoom or Microsoft Teams.
- Experience solving common technical issues (camera, mic, connection).
- A friendly, clear communicator who stays calm under pressure.
- Availability to work in Eastern Time (ET) hours with up to 2 hours of extra buffer time.
